What we do with what you tell us.
Short version: we collect what we need to run a search, we do not sell it, and you can ask us to delete it.

Who this is about
Briar & Root Nannies is the assumed name of Briar & Root LLC, an Indiana limited liability company based in Warsaw, Indiana. In this policy, "we" and "us" mean that company, and "you" means anyone who uses this website or contacts us through it.
This policy covers this website and the enquiries that come through it. If you go on to engage us for a search, you will be given a separate written agreement, and that agreement governs how your information is handled during the search itself.
What we collect
What you type into the form
The contact form asks for your name and email address, and optionally your phone number, your town or area, your children and their ages, the hours you need covered, when you would like a nanny to start, and anything else you want to tell us. Everything past the first two is optional. If you would rather not put your children's ages in a web form, leave that field blank and tell us on the call.
What you send us another way
If you email or phone us, we keep that correspondence in the ordinary way any business keeps its correspondence.
What the website collects on its own
Very little, deliberately. There is no analytics package on this site, no advertising pixel, no tracking cookie, and no account to create. Our hosting provider keeps standard server logs, which include IP addresses, for security and reliability purposes.
The site loads its two typefaces from Google Fonts. Doing so sends your IP address to Google, which is how any website using their font service works. We mention it because it is the one thing on the page that talks to a company other than ours.
Why we collect it
- To answer you, and to arrange the first phone call
- To understand the role well enough to say honestly whether we can fill it
- To run the search, if you decide to engage us
- To keep our own business records, including what the law requires us to keep
That is the whole list. We do not build profiles, we do not use what you send us to market anything to you beyond replying about your own enquiry, and we do not add you to a mailing list because you filled in a form.
Who else sees it
We do not sell your information, and we do not rent, trade, or share it for anyone else's marketing.
A small number of service providers necessarily handle it in order for the business to function:
- Netlify hosts this website and receives and stores contact form submissions on our behalf
- Google Workspace carries our business email, and our business phone line and its voicemail
- Google Fonts serves the typefaces, as described above
Each is bound by its own terms and processes the information only to provide its service to us.
Candidates, and what they are told
If you engage us for a search, we describe your household to candidates so they can decide whether the role suits them. That description covers the things a caregiver needs to know, such as the ages of the children, the schedule, the general area, and what the role involves. We do not release your surname, your street address, or your contact details to any candidate without your say-so.
Where we would have to disclose
We would disclose information if the law required it, if a court ordered it, or if we reasonably believed disclosure was necessary to protect a child or prevent serious harm. We would not do so quietly if we were free to tell you.
Children's information
This website is written for adults hiring a caregiver, and it is not directed at children. We do not knowingly collect information from anyone under thirteen.
We do end up holding information about children, because a parent tells us their ages and their needs. That information comes from you, we use it only to define and run the search, and we treat it as the most sensitive thing in the file. You can tell us as little as you are comfortable putting in writing.
Candidate information
Caregivers who apply to us go through a screening process that involves background checks, reference calls, and verification of employment, education, driving record, and insurance. That process has its own consent forms and its own legal obligations, including obligations under the Fair Credit Reporting Act, and those forms govern rather than this page.
Two things are worth stating here anyway. What we tell a hiring family is our decision on a caregiver, not the report itself: the report stays in the screening company's secure system and is never passed to anyone. And a caregiver who is not placed does not have their file passed on to anyone.
How long we keep it, and how it is held
We keep as little as we can, for as long as we have a reason to. These are the periods we work to:
- An enquiry that never becomes a search is deleted after twelve months
- A candidate we did not place is deleted after twelve months from our last contact
- Records of an actual placement are kept for seven years, because tax and insurance rules require it
- A signed agreement is kept for ten years, which is the period Indiana law allows a written contract to be disputed
- Screening consent forms and any adverse action file are kept for five years
We do not keep copies of background check reports. They stay in the screening company's own secure system, and we read them there. What we keep is the decision, not the report. The one exception is when a report is the reason someone was not put forward, because federal law requires us to give that person a copy and to keep proof that we did.
Information is held in access-controlled business accounts, not on shared or public storage. When records reach the end of the periods above they are destroyed, not simply set aside. No system is perfectly secure and we will not claim otherwise, but sensitive files are kept where only Kate can reach them.
What you can ask us to do
Email us and we will do any of the following, at no cost:
- Tell you what we hold about you
- Correct anything that is wrong
- Delete what we hold, unless we are required to keep it
- Stop contacting you
We will confirm when it is done. If we cannot delete something, we will tell you which record it is and why we have to keep it.
Changes, and how to reach us
If this policy changes we will update the date at the top of the page. Material changes will be described rather than slipped in.
